These Coaching Terms & Policies apply to coaching services provided by R. Roby & R. Wolf, ABN 53475286355, with coaching delivered by Romy Wolf.
In these terms, “I” and “me” refer to Romy Wolf as the coach, “the business” refers to R. Roby & R. Wolf, and “you” refers to the person receiving coaching services.
These terms explain how coaching works, what you can expect, and the policies that apply to bookings, payments, cancellations, refunds, recordings and privacy.
These terms apply to both the free 20-minute introductory coaching call and any paid coaching sessions booked with the business.
I provide 1:1 lifestyle coaching designed to support practical lifestyle changes that fit into everyday life.
Depending on your starting point and circumstances, coaching may include reviewing your current routines, identifying what is making healthier choices difficult to maintain, deciding what to focus on, and finding realistic ways to make progress over time.
Coaching may cover areas such as sleep, movement, exercise, food choices, daily routines, consistency and other lifestyle factors that support healthy aging and wellbeing.
The approach is gradual and practical. Rather than expecting everything to change at once, we can start with realistic changes and build on them over time.
Lifestyle coaching is not medical care and is not a substitute for advice, diagnosis or treatment from a doctor or other qualified health professional.
I do not diagnose medical conditions, prescribe medication or supplements, provide therapy, rehabilitation, clinical nutrition or dietetic treatment, or give medical advice.
If something comes up that is outside the scope of lifestyle coaching, I may recommend that you speak with an appropriate qualified professional before continuing with that issue.
You remain responsible for your own health decisions and for seeking professional medical advice when needed.
Paid coaching sessions are 60 minutes and are booked individually. There is currently no package commitment.
Payment is required in full before a session is confirmed. Payments are currently processed through PayPal.
Prices may be shown in USD, with an AUD payment option available for Australian clients. Prices may change for future bookings, but any session already paid for will not be affected by later price changes.
A booking is considered confirmed once payment has been completed and a session time has been selected through the booking system.
If you have paid for a session but have not yet booked a time, the session must be booked within six months of the payment date. If you need more time, please contact me.
You can cancel or reschedule a coaching session with at least 24 hours’ notice.
If you cancel or reschedule with less than 24 hours’ notice, the session is non-refundable and cannot be carried over.
I understand that genuine illness and emergencies can happen unexpectedly. If this happens, please contact me as soon as possible. I may offer a one-time short-notice reschedule at my discretion. This exception is intended for genuine unexpected circumstances and does not apply to repeated late cancellations or no-shows.
A paid session may be rescheduled up to three times. If the session is not attended after the third reschedule, the payment is forfeited.
If you are more than 10 minutes late without prior agreement, the session may be treated as a no-show. If you arrive within 10 minutes, the session will still finish at the originally scheduled time.
If I need to cancel a session, you can choose between rescheduling or receiving a full refund.
Refunds are available if I cancel a session and you choose not to reschedule.
Once a coaching session has taken place, the payment is non-refundable.
Nothing in this policy limits any rights you may have under Australian Consumer Law.
Free and paid coaching sessions are normally recorded. I will let you know at the beginning of the session that recording is about to start, and you can choose not to be recorded. Choosing not to be recorded will not affect your coaching.
Recordings are used to help me maintain an accurate record of our conversations, prepare follow-up actions, and keep track of anything I have agreed to do. They may also be referred to if a question later arises about what was discussed or agreed during a session.
Recordings are kept securely and are not shared publicly or used for marketing without your separate permission.
Recordings will generally be kept until six months after your most recent coaching session and then deleted. A recording may be kept longer where reasonably necessary to deal with a complaint, dispute or legal requirement.
Coaching works best when you take an active role in the process. You are responsible for deciding which changes you want to make, being open about what is and is not working for you, and making a reasonable effort to follow through on the actions we agree on.
Please let me know if something does not feel realistic, appropriate or clear so we can adjust the approach.
You are also responsible for seeking medical or other qualified professional advice when needed and for making your own decisions about your health and wellbeing.
I will treat the information you share during coaching as private and use it only for purposes connected with providing and managing the coaching service.
This may include information you provide in booking or intake forms, during coaching sessions, by email, or through any tracking tools we use together.
Your information will not be shared with other people or used publicly without your permission, except where disclosure is required by law or reasonably necessary to protect someone from serious harm.
I use third-party services such as Zoom, email, booking, payment and cloud-storage providers to run the business, so some information may be processed or stored through those services.

Coaching is intended to support you in making practical lifestyle changes, but individual results will vary.
I cannot guarantee any specific health, wellbeing, lifestyle or other outcome from coaching. Progress depends on many factors, including your circumstances, the choices you make, and how consistently you are able to apply what we discuss.
Coaching provides guidance and support, but you remain responsible for the decisions you make and the actions you take.
I may decline to begin coaching or end the coaching relationship if your needs fall outside the scope of lifestyle coaching or if another type of professional support would be more appropriate.
Coaching may also be ended if there is repeated disrespectful, abusive or inappropriate behaviour, repeated misuse of the booking or payment process, or if continuing the coaching no longer appears useful or appropriate.
If I need to end the coaching relationship for personal or business reasons, I will let you know as soon as reasonably possible.
Where appropriate, I may suggest that you seek support from a more suitable qualified professional.
